Bethune Athletic Committee Constitution
Mandate
- The Bethune Athletic Committee (BAC) exists to promote and implement intramural sports at Bethune College and York University.
- It exists as a sub-committee of the Bethune College Council (BCC).
- The BAC operates to enhance the involvement and support an active and healthy environment for all students at Bethune College.
- The BAC is directed by the V.P. of Athletics.
Authority
- The ultimate authority in approving policy relating to the intramural program at Bethune rests with the BAC.
- The BAC reserves the right to suspend, reprimand or prohibit the participation of any Bethune participant who undermines the policy and mandate of the BAC. To institute such punishment there must be a 2/3 majority of voting members present at that meeting
Policy Statements
- The BAC believes that the values and benefits of recreation to ones' life is far reaching and should always be prominent within our program.
- The BAC believes that intramural sports are a vital component to the quality of life in Bethune College. We also believe that they should never be used as a means to glory or a hurtful end. They should be played in the proper manner of sportsmanship and fun.
- The BAC believes that sportsmanship is a vital component of our program. All involved, especially the BAC members should exemplify it.
- The BAC does not condone any form of violence within its program. Violence in any form between players, coaches, fans or referees will not be tolerated and will be dealt with appropriately by SIRC.
- The BAC believes that alcohol has no place in recreation and intramural sports, and it will not tolerate its use by any of its participants during competition.
- The BAC will not condone the use of any illegal substances in the form of drugs or blood doping by any of its participants.
- The BAC believes that cheating in any form is improper and an unethical manner in which to conduct oneself. Cheating has no place in our program and will not be tolerated.
Intramural Program
The intramural program shall offer to all Bethune students, Alumni and staff, an opportunity to participate in a variety of sports at both the competitive and recreation levels.
The BAC shall establish any number of teams/leagues/special events in order to fulfill this mandate.
Membership of BAC
- The BAC is directed by the BCC V.P. of Athletics and is composed of four executive members: Director of Operations, Director of Communications, Director of Promotions, Manager of the Blue Dragon Gym; and returning and new general members.
- All candidates are accepted based on submission of application and meeting the criteria for a general member. The criteria for selecting general members are full time enrolment and affiliation with Bethune College.
- A member of executive can only be removed from office for just cause. The determination of just cause is at the discretion of the BAC. Any removal must have a 2/3 majority of the ENTIRE voting membership of BAC.
- All members must fulfill contract duties that are presented at the beginning of the year. If one fails to do so, this presents possible cause for removal from BAC. For removal of a General or Senior member from BAC, there must be a 2/3 majority of the executive members. Motions of removal must be brought up only by executive members on BAC.
- Non-voting members are defined as all members of the Bethune community. They are welcome to attend all regular meetings of BAC.
- The BAC executive positions will be filled after the BCC V.P. of Athletics is elected. Members of BAC nominate fellow members to fill the executive positions. All members of BAC will then vote and appoint the new executives for the following year.
Membership code of conduct
- All BAC members shall conduct themselves in a manner that exemplifies good sportsmanship, fair play and a positive attitude towards intramural, recreation and varsity programs.
- All members shall strive to maintain a philosophy and attitude to help ensure that intramural, recreation and varsity programs are accessible to all members of the Bethune community, regardless of gender, race, age or ability.
Duties of Executive Members
- Director of Operations
- Be a voting member of SIRC and attend all SIRC meetings.
- Follow SIRC constitution defining responsibilities for voting members.
- Be a member of Bethune College and a full-time student of York University.
- Be responsible for all duties of a general member.
- Be responsible for updating the BAC website through the BCC webmaster.
- Overseeing of all proposed team entries and rosters and working with all sports organizers to prevent defaults.
- Be one of the signing officers on the BAC banking account.
- Attend all BAC meetings to report status of budget.
- Maintain a working relationship with the BCC VP of Finance.
- Oversee all financial transactions of BAC.
- Keep an up-to-date budget and record of Torch points.
- Draw up the BAC budget in consultation with the BCC VP of Athletics and VP of Finance.
- Be responsible for providing a working schedule on office cleanliness for all BAC members.
- Be responsible for purchasing office supplies when needed.
- Director of Communications
- Attending all SIRC meetings. Act as a proxy voter when needed.
- Follow SIRC constitution defining responsibilities for voting members.
- Be a member of Bethune College and a full-time student of York University
- Be responsible for all duties of a general member.
- Attend all BAC meetings and take minutes.
- Provide the BAC with the previous meeting's minutes a minimum of two days prior to the next meeting, and keep a record of the minutes in the BAC office for five years.
- Be responsible for the maintenance of the cabinet files
- Be responsible for actively promoting the BAC to commuters
- Actively promote BAC during orientation (coordination of events with the BCC and the VP of Athletics.)
- Maintain a working relationship with the Bethune College Council Commuter Representative.
- Maintain and update the BACNEWS list serve and email intramural sports participants about upcoming events
- Be responsible for actively promoting BAC to all Bethune residents
- Post a list of all sports offered by Bethune College in the Bethune residence.
- Act as a liaison between Bethune Residence Council and BAC.
- Provide each Don of Bethune Residence with monthly list of intramural sports
- Be responsible for posting posters for any BAC event in Residence.
- Creating and maintaining an emergency back-up list of all potential residence students who the BAC can call upon during times of need for intramural sport games.
- Maintain a working relationship with the Bethune College Council Residence Representative
- Director of Promotions
- Attending all SIRC meetings. Act as a proxy voter when needed.
- Follow SIRC constitution defining responsibilities for voting members.
- Be a member of Bethune College and a full-time student of York University.
- Be responsible for all duties of a general member.
- Be responsible for the advertising and promotion of BAC.
- Be responsible for providing up-to-date information and articles about BAC to the lexicon nd other campus newspapers regarding BAC.
- Maintenance of the bulletin boards.
- Be responsible for the promotion of special events and for postering the bulletin board with relevant sport promotional posters provided by the sport organizers.
- Be responsible for overseeing the choice of athlete(s) of the month and advertising the winner to the Bethune Community.
- Manager of the Blue Dragon Gym
- Attending all SIRC meetings. Act as a proxy voter when needed.
- Follow SIRC constitution defining responsibilities for voting members.
- Be a member of Bethune College and a full-time student of York University.
- Be responsible for all duties of a general member.
- Maintain and oversee all operations of the Blue Dragon Gym.
- Be responsible for providing a working schedule on gym cleanliness for all BAC members.
- Be responsible for the promotion of the Blue Dragon Gym.
- Be responsible for the promotion and selling of gym membership.
- Maintaining and upgrading when required the gym equipment.
- Actively promote the blue dragon gym during orientation in coordination with the promotion of BAC.
- Promote the gym through the BAC listserve, website, poster boards, and the Lexicon.
Duties of General Members
All returning members of the BAC that don’t hold an executive position will be referred to as senior members.
- Be responsible for the administration of the Intramural Program within Bethune College.
- Organize two sports for the academic year for which they are members of BAC.
- Attend or appoint individuals for team captains for the sport that they are organizing and ensure all deadlines are met.
- Be responsible for two office hours a week.
- Be responsible for the promotion of the York Intramural League.
- Where possible, attend SIRC meetings.
- Notify the chairperson of any business to be discussed on the agenda 48 hours prior to the next BAC meeting.
- Inform the Director of Operations of the number of teams entered for each organized sport as well as give a written record of the number of defaults of team entered and number of teams defaulted out at the end of the sport.
- Submit articles concerning the outcome in the sports which the member organizes to the Executive of Promotions of BAC.
- Participate in a minimum of five intramural sports, unless due to unforeseen circumstances.
- Verify all students' affiliations for the sports they organize.
- Nominate athlete(s) of the month to the executive of promotions of BAC.
- Report the status of sports at all regular BAC meetings.
Conduct of Business
Meetings:
- Bi-weekly scheduled meetings will be held during the academic year (September to April) unless otherwise appointed by the VP oAthletics.
- A March meeting will be devoted solely to election processes.
- Special meetings of the BAC may be called by members of the executive.
- Voting at BAC meetings shall be restricted to all designated voting members.
- Monthly executive meetings should be held where only the four executive members may be present.
Banquet Committee:
- Divided into sub-committees (awards, decorations, promotions, t-shirts, food, and entertainment)
- Each sub-committee is to be chaired by an appointed member on BAC under the BCC VP of Athletics discretion.
- This committee shall be chaired by the VP of Athletics and can consist of any number of BAC members.
