Hiring an Intern

Hiring a York intern is easy. The Career Centre is available to assist you with each step of your recruitment. From how to post a position to scheduling interviews, we are here to help facilitate the entire process. The following guidelines provide an overview of the steps for hiring an intern. We also welcome you to contact the Internship Coordinator directly for further assistance.

Internship Job Posting Requirements

Before posting an internship position, please ensure your job meets the following posting criteria:

  • Full time (i.e. at least 35 hours per week)
  • Paid (i.e. the average recommended salary for an intern is $30,000 to $40,000 per year)
  • Duration or length of contract is at least 4 consecutive months and no more than 16 months
  • Start date aligns with the Recruitment Timelines (i.e. positions begin each term in May, September or January)
  • Position utilizes the knowledge, skills and abilities students gained in their program of study and provides an opportunity for further development and learning.

Posting an Internship Job

Internship positions are posted on the Career Centre's online job posting system, which internship students have exclusive access to.

  • If you have never used the system before, you will need to sign up for an account:
    • Click on "Register And Post a Job" (this will allow you to create an account and post your first job, simultaneously)
    • Fill in the required "Organization" and "Contact" information, then click "Next"
    • Complete the Job Posting form including the following information:
      • Answer "yes" for "Is this a York Internship Programs Job"
      • Under Position Type select the appropriate internship program
    • click "Submit"
    • Once you have registered for an account and completed the Job Posting form, an administrator will approve your registration and job posting
    • Approval may take up to two business days
    • Once your account registration has been approved, you will receive an email with your username and password, which will allow you to log in, post additional jobs, view applications and batch resumés
  • If you already have an account on the system:
    • Login using the user name and password that was emailed to you when you registered
    • Once logged in, go to the "Job Postings" section and click on the "Add New" button
    • Fill in the required information on the job posting including the following:
      • Answer "yes" for "Is this a York Internship Programs Job"
      • Under Position Type select the appropriate internship program

Does this service cost anything?

Post as many jobs and collect as many resumés as you wish at NO cost.

Please note: when you submit a job posting, you will be asked if you want to “Post to this school only” or “Post to Multiple Schools”. If you choose the “Post to Multiple Schools” option, fees will be charged by the software provider (Symplicity Corporation). If you wish to post to York University only (free of charge), please choose “Post to this school only”.

Collecting Applications

The Career Centre's online job posting system allows you to choose your application collection method. You can choose to have students apply through your online applicant tracking system (provide the URL students should follow) or have students apply through the Career Centre's job posting system. If you ask students to apply using the Career Centre's system, you can choose to receive each application when it is submitted or have all applications collected on the system and sent to you as a batch PDF on the position close date.

Arranging Interviews and Presenting Job Offers

Interviews and job offers are coordinated through the Career Centre. The processes are detailed below to ensure employers that students being considered for positions are eligible to complete an internship through a recognized York Internship Program. In addition, employers who hire students through our Internship Programs may be eligible for an Ontario Co-operative Education Tax Credit, a refundable tax credit equal to 25-30% of eligible expenditures (i.e. up to $3000 for each qualifying work period).

Students also complete a number of important administrative processes through the Career Centre when they receive a job offer, such as signing a Terms & Conditions agreement and enrolling in the mandatory internship course so that their internship work terms are recognized on their transcript.

(1) Interview Coordination Process:

  • Submit your interview request via email to the Internship Coordinator, including the list of candidates and details, such as date, time, location, type and length of interview, name(s) of interviewer(s), etc.
  • The Internship Coordinator will verify students’ eligibility and confirm interviews with the employer within 1 to 2 business days.
  • Interview rooms are available at the Career Centre. Read more details about our Interview Facilities and make a booking using our online form (the $100 booking fee will be waived for York Internship Program employers).

(2) Job Offer Coordination:

  • Submit the internship job offer details via email to the Internship Coordinator. The offer details include: student name, position being offered, start/end date and salary.
  • The Internship Coordinator will verify the student's eligibility, extend the offer to the student and communicate the student's decision to the employer within 2 business days.

Confirming Employment

Upon hiring an intern, employers contact the student directly to further discuss the official offer package, such as signing the official offer documents, submitting human resources or security forms, etc.
