Diplomas and certificates are kept on file for approximately one year following the convocation ceremony.

• June convocation diplomas and certificates are kept until the following June 1.
• October convocation diplomas and certificates are kept until the following October 1.

Contact Student Client Services at 416-872-YORK (9675) if you graduated within these timeframes but never received your original diploma or certificate. You can either pick it up at Student Client Services in the lobby of the Bennett Centre for Student Services during regular office hours or you may arrange to have it mailed to you. If you graduated outside the timeframes shown above, you must request and pay for a new diploma or certificate. Look below for: How do I obtain an additional or replacement diploma or certificate?

Diplomas and certificates are not available for pick-up immediately following a convocation ceremony. If you want to pick up a June diploma or certificate, you can do so beginning the first business day in July. If you want to pick up an October diploma or certificate, you can do so beginning the first business day in November.

A third party may pick up a diploma or certificate on your behalf provided they have a signed letter of authorization from you allowing them to do so. Additionally, they will have to show their own photo identification when they pick it up.

You can request your diploma or certificate to be mailed, however, your diploma or certificate must be on file. Diplomas and certificates are kept on file approximately one year from the convocation date. If you have never received your diploma or certificate and would like for it to be mailed, please download and fill out the Diploma Mailing Request Form. The form can be faxed to 416-736-5444, or placed in the drop box located in the lobby of the Bennett Centre for Student Services (the building is open 24 hours a day).

Mailing charges are:

• $35 in Canada
• $50 in the United States
• $100 International

Diplomas and certificates are sent through UPS and require a signature from the receiving party. If there is no one home, UPS will leave a card in your mailbox indicating that an attempt was made to deliver the diploma or certificate. The diploma or certificate will then be sent to a local distribution centre for pick-up by you at a later time. Diplomas and certificates that are returned to the University as undeliverable will be filed and held until the next December or July (whichever is sooner). It is the graduate’s responsibility to pay for another mailing for any diplomas or certificates that are returned, so please ensure that the address information that you submit is correct.

You can order an additional or replacement diploma or certificate by filling out a Replacement/Duplicate Diploma Order Form. Once the form is filled out you can fax it to 416-736-5444 or place it in the drop box in the lobby of the Bennett Centre for Student Services (the building is open 24 hours a day). There is a $65 charge for each diploma or certificate. This charge does not include mailing.

Please note: diplomas and certificates are not printed immediately on request, it may take two to three weeks before yours is printed. All diplomas and certificates are produced using current University diploma printing standards.

If you cannot pick up your diploma or certificate, you can have it mailed to you. Mailing charges are:

• $35 in Canada
• $50 in the United States
• $100 International

If you need a certified photocopy of your diploma or certificate, you must complete the Certification of Diploma Order Form and bring the original diploma or certificate to Student Client Services during regular office hours. Please be prepared to leave your diploma or certificate for at least five business days. There is a $25 charge for each certified photocopy of the diploma or certificate.

Please note: orders for certified photocopies prior to the convocation ceremonies cannot be filled. If you require post-ceremony certification, then please drop off your diploma or certificate after you receive it.

Your full legal name, as shown on the Student Information System, is what is used on official University documents, such as transcripts and diplomas.

To make any changes to your official name, you must submit a Name Change Form to the Registar's Office along with the appropriate supporting documentation as outlined on the form.

For your correct name to appear on your diploma and in the convocation program, the Name Change Form must be submitted to the Registrar's Office by May 1 for the June convocation and September 15 for the October convocation. If you submit the form after the deadline date, you will have to order and pay for a replacement diploma.
