The first floor renovations have entered the third phase of construction and finishing. We are still anticipating that the program will be substantially complete by May 21.
Most of the dry wall has been installed, taped mudded and prepared for paint. The new ceiling treatments, dry wall bulkheads and suspended ceiling tile system are nearing completion. Lighting fixtures in the new ceilings will begin installation this week. Fire alarm systems have been upgraded and are to be installed week of April 13.
There is a great deal of activity to follow in the next couple of weeks, painting, floor resurfacing and installation of floor finishes. Because of the high activity the work is being staged from 105 where Bibliographic services will be, then to 106 Mono Acquisitions and then onto 108 Serials and binding. The staff lunch room and kitchen are being used as staging areas right now but most of the work there is complete as well. The training room is being prepared as well but may be one of the last areas to be completed as the contractor needs room to store all the new fittings and parts.
The wall systems for offices and the board room are being crafted and will arrive on site April 28 at 9:30 am. The larger pieces will have to enter the library through the book return in Central Square, the Scott elevator is not deep enough for the 12 foot sections that are part of the floor to ceiling walls.
Network wiring will be run throughout the floor starting April 13, wiring for door access systems is also being strung at the same time.
In the Maps Library the new walls between the new staff area and Maps was unveiled last week. Shelving on the new walls was installed April 8th and ready to load immediately. Map Library staff will be reshelving the monographs soon. That will open up a large area of the seating area in Maps that is being used to hold collections displaced by the renovations.

All approvals for the renovations to Scott Library first floor have been signed off and a contractor has been selected to commence work in January, pending the issue of the Purchase Order. A great deal of preliminary work has taken place to facilitate the arrival of the contractor to the site:
Map Library
Furniture and shelving in the Map library has been re organized to make room for a small amount of room to be incorporated into the renovation staff space. Some of the furniture, original to the building was in such a fragile state that it was decided to replace the atlas stands with newer shelving. Some collections have been moved into other storage areas to accommodate current collections. The update layout allows for better site lines, more flexible shelving arrangements and removes study from a dark and unmanageable alcove.

Now empty of furniture, the staff lunchroom awaits demolition. The new temporary lunchroom has been relocated to the fifth floor. A new lunchroom and update kitchen are planned for the same space. Made smaller to allow for the addition of a boardroom/meeting room installation, the new staff lunchroom will be renewed with new floor covering, and other amenities.

Here’s the latest news on the technical services renovations:
The university has been issued with a building permit for the renovations.
A tender has been issued and you may have seen many contractors who have been in Scott viewing the premises. At least 8 contractors are likely to bid on the job. The contractors are to submit their responses to the tender by the end of this week. The evaluation of tenders is expected to take approximately 2 weeks. Following this will be the awarding of the contract to the winning bidder, plus the issuance of purchase orders by Procurement.
It is possible that work on the 1st floor renovations could begin in late January or early February.
Recently the drawings for the new Technical Services Department were submitted to the City of Toronto’s building department. The City reviews all construction drawings for compliance with code and assesses whether or not building occupants are able to safely evacuate the premises if an emergency situation arose.
The City’s building department recommended the university make a revision to the drawing in the Bibliographic Services department to relocate the emergency exit to allow easier egress for Bibliographic Services staff. The revised drawing attached to this note outlines a new emergency exit corridor that is reflected in the new configuration of the Bibliographic Services department which we anticipate will be acceptable to the City.
The new corridor is designed for emergency exit purposes only, and will not be used as a natural thoroughfare in daily operations. The introduction of this new corridor has led to minor alterations to the layout of the offices in Bibliographic Services ensuring all offices are at least 120 square feet in dimension.
The new emergency exit in Bibliographic Services eliminates the need for an emergency exit door in Bibliographic Services near the Scanning Room that was outlined in the initial drawing. This door has now been replaced by a re-configured Scanning Room layout which takes advantage of some previously unused space. The closing of this emergency exit door is also beneficial to the proposed layout of the renovated MAP Library, as this change provides additional usable space for the MAP library collection.
When you review the updated drawing you will also notice that additional doors have been installed in the main hallway. This change is in response to a requirement from the City to build the corridors in such a manner as to restrict a fire from spreading from one area of the building to another area.
A series of revised drawings will be re-submitted to the City for approval shortly that incorporate these changes. We anticipate it will take roughly 3 months for the City to review and approve these updated documents. In the meantime, the renovation working committee will continue to meet as needed to fine-tune the particulars of the drawing for each department.
Update on the Renovations to the 1st floor of the Scott Library
The votes are in for the colour selections for the accent walls, the staff lunch room millwork, and the chairs for the training room.
We have displayed 2 colour boards that will provide the staff working
in Technical Services to indicate their preference for some finishing items
in both the office area and the staff lunch room. All Scott Library staff will also
be able to indicate their colour preferences for the staff lunch room.
The first colour board is displayed in the Serials Acquisition
kitchenette area. A large scale diagram, along with description of the
colour board, will help describe the finishes for the office area. A survey
will allow staff members to indicate their preferred options. Only Technical
Staff department members can indicate their colour preferences for colour
options in the technical services department office area.
The second colour board is displayed in the Staff Lunch Room.
All Scott Library staff will be invited to participate in this survey. There will
also be a description for the colour board.

I would like to provide you with a very brief update on the Scott first floor renovations. The situation generally remains unchanged, as we have finalized the drawing and the cost estimate. The Facilities
department is continuing to prepare drawings for the larger scale renovation project that will be done in conjunction with our first floor renovation project. This large scale project encompasses the fire safety system, lighting retrofit, and HVAC systems. John Thomson has been checking periodically with Facilities and will provide us with an update as soon as there are further developments. Monika Macieri provided the working committee with some questions from Technical Services staff members. I will work over the next week to make sure that the points Monika raised are addressed. Some of the departments have started the process of assigning work stations. If your department has not yet initiated this process you should expect that this will happen shortly. Enclosed is a drawing that reflects two minor changes after a fire code review. Another exit was added from area 105 (in Bibliographic Services, adjacent to the MAP Library) that has resulted in a minor revision to the scanning room and the adjacent office. It was also necessary to eliminate the coat closet which was previously attached to the scanning office in order to maintain the same number of scanning stations and the same square footage for the office. The coat hooks for Bibliographic Services will now be provided on the 9′-0″ high wall that faces offices 10 and 11.
