TIPS FOR COMPLETING JOB EVALUATION QUESTIONNAIRES


Completing a questionnaire may not be an easy task, but it is crucial. The questionnaire must give a clear perspective on the position. Include all aspects of your job. In completing your questionnaire, describe your position so that a person unfamiliar with your work would be able to understand.

The important thing to remember is that there are no right or wrong answers to any questions. There are only answers that tell us about the work you do. Always choose the answer(s) that best describe your duties as actually required. Remember, we are measuring what you do in your job.

There is the option to jointly submit the questionnaire. This means that both you and your manager will discuss and sign off on the content of the questionnaire and submit it to Human Resources. In the case of a multi-incumbent position, all staff in that position and the manager would sign off on one questionnaire. Or, you can fill out the questionnaire and submit it to Human Resources, and they will forward it to your manager for comments. Upon receipt of your manager's comments, Human Resources will then return the manager's comments to you, so that you can make further comments where you agree or disagree with what your manager wrote.


HELPFUL HINTS

  1. Before answering each question, please read it carefully and think about what it is asking of you.
  2. Read through all of the choices before making your selection or selections.
  3. Refer to your Job Summary and/or the Job Posting if it still applies.
  4. Give a clear perspective as to how your job exists during the period of time the questionnaire is addressing.
  5. When using acronyms, write out what it stands for once, so that it is understood throughout the questionnaire. Remember not everyone knows the meaning of all of the short forms.

    Example: Student Information System (SIS)

  6. Do not submit work samples or other forms of proof.
  7. Take care not to under-describe or over-describe your position. If you need more space, you can add a page.
  8. Remember to include all aspects of your job including those duties which you are responsible for, but may perform only once or twice a year.
  9. Please type all your responses or print legibly in black ink. It's easier for the raters to read and photocopies are provided for each rater.
