{"id":2229,"date":"2020-09-08T16:22:43","date_gmt":"2020-09-08T20:22:43","guid":{"rendered":"https:\/\/www.yorku.ca\/financedev\/?page_id=2229"},"modified":"2022-04-28T15:39:31","modified_gmt":"2022-04-28T19:39:31","slug":"event-administrator-responsibilities","status":"publish","type":"page","link":"https:\/\/www.yorku.ca\/finance\/eventbrite\/event-administrator-responsibilities\/","title":{"rendered":"Event Administrator Responsibilities"},"content":{"rendered":"\n<p>Event administrators are responsible for:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Providing the required information to Treasury<\/li><li>Setting up the event on Eventbrite (only one access person can be set-up using this application)<\/li><li>Observing University revenue collection practices, including recording HST payable on the event<\/li><li>Any issues with the platform need to resolved between the event administrator and Eventbrite<\/li><\/ul>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<h2 class=\"has-text-align-center has-vivid-red-color has-text-color wp-block-heading\">DO'S<\/h2>\n\n\n\n<ul class=\"wp-block-list\"><li>DO use a University authorized provider for University-sponsored events handling<\/li><li>DO follow these guidelines or contact Treasury for support and approvals if Eventbrite or other options are under consideration<\/li><li>DO provide Treasury with initial information as requested below<\/li><li>DO coordinate with your Executive Officer\/Director\/Financial Officer and General Accounting\/Finance Dept. for collecting and depositing amounts to a specified account and cost centre<\/li><li>DO use an authorized application that is&nbsp;<strong>PCI DSS*<\/strong>&nbsp;compliant.&nbsp; Using a non PCI DSS compliant application exposes the University to the risk of fraud. Choosing a PCI DSS compliant provider is required.<\/li><\/ul>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<h2 class=\"has-text-align-center has-vivid-red-color has-text-color wp-block-heading\">DO NOTS<\/h2>\n\n\n\n<ul class=\"wp-block-list\"><li>DO NOT use PayPal** or other unauthorized revenue handling appalications - there are specific risks and no controls. PayPal is not authorized.<\/li><li>DO NOT use an external service provider for collecting credit card revenues without&nbsp;<strong>first&nbsp;<\/strong>arranging for consultation, review and approval by Treasury.<\/li><\/ul>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:33.3%\">\n<p><\/p>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.6%\">\n<p><\/p>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"alignleft size-large\"><a href=\"https:\/\/finance.info.yorku.ca\/files\/2018\/04\/Important.jpg?x12422\"><img decoding=\"async\" src=\"https:\/\/www.yorku.ca\/finance\/wp-content\/uploads\/sites\/9\/2020\/07\/Star_sr_rgb_x2.png\" alt=\"\" class=\"wp-image-9000001381\"\/><\/a><\/figure><\/div>\n\n\n\n<blockquote class=\"wp-block-quote is-style-large is-layout-flow wp-block-quote-is-layout-flow\"><p><em>The&nbsp;<strong>PayPal<\/strong>&nbsp;service is not used by York University. PayPal\u2019s service proposition is based on individuals accepting payments from other individuals. University events should&nbsp;<strong>never<\/strong>&nbsp;be handled in conjunction with a PayPal account as this would signal an individual was accepting revenues on behalf of the University which would constitute a breach of financial controls. There is risk of potential compromise to the individual or the event, or both, due to a lack of required transparency and use of an unauthorized account.<\/em><\/p><\/blockquote>\n\n\n\n<div
