All content is published to the <a href=\"https:\/\/yfile.news.yorku.ca\/\" target=\"_blank\" rel=\"noreferrer noopener\"><em>YFile<\/em> website<\/a> and distributed through an <a href=\"https:\/\/us6.campaign-archive.com\/home\/?u=86008ef08decdaa609e7ca8f2&amp;id=3ba936d492\" target=\"_blank\" rel=\"noreferrer noopener\">email newsletter<\/a> to more than 7,500 subscribers, including faculty, staff members, students and friends of the University. The <em>YFile<\/em> team works together with the University\u2019s Faculties, schools, departments and units to share important news and announcements. <\/p>\n\n\n\n<p>The <strong><em>YFile<\/em>&nbsp;User Manual<\/strong> is a companion guide that&nbsp;outlines&nbsp;<em>YFile<\/em>\u2019s unique set of rules and conventions for writing,&nbsp;publication&nbsp;and use. Here, you will find everything from&nbsp;ad,&nbsp;image&nbsp;and story&nbsp;submission requirements to&nbsp;information on approvals and&nbsp;deadlines, as well as common questions&nbsp;and how to use the archives.<\/p>\n\n\n\n<p><em>YFile<\/em> adheres to the <a href=\"https:\/\/www.yorku.ca\/brand\/style-guide\/\" target=\"_blank\" rel=\"noreferrer noopener\">York University Writing Style Guide<\/a> (the Writing Style Guide), a document approved by the University Senate and the president. All requested ads will be published at the discretion of the <em>YFile <\/em>team.<\/p>\n\n\n\n<p><strong>Deadlines: <\/strong>A request for an ad space in the <em>YFile<\/em> email newsletter should be <a href=\"mailto:ashleygc@yorku.ca\" target=\"_blank\" rel=\"noreferrer noopener\">submitted<\/a> at minimum five (5) days in advance of the newsletter publication date.<\/p>\n\n\n\n<p><strong>Requirements for small square ad:<\/strong> An image in JPG format of at minimum 800 by 800 pixels, and should include a valid URL.<\/p>\n\n\n\n<p><strong>Requirements for large footer ad:<\/strong> An image in JPG format of at minimum 1,200 pixels wide by 600 pixels high and an active hyperlink that the ad can redirect to, and should include a valid URL.<\/p>\n\n\n\n<p id=\"announcements\">Advertisements appearing in <em>YFile<\/em> must align with <a href=\"https:\/\/www.yorku.ca\/brand\/\" target=\"_blank\" rel=\"noreferrer noopener\">York University\u2019s Brand Standards<\/a>. Announcements posted in the newsletter are <a href=\"https:\/\/yfile.news.yorku.ca\/announcements\/\" target=\"_blank\" rel=\"noreferrer noopener\">archived<\/a> on the <em>YFile<\/em> website. The Announcements section is reserved for notices from senior leadership, and for specific information on campus operations including notices related to health and safety, labour action and more.<\/p>\n\n\n\n<p><a href=\"#tableofcontents\">&gt;Return to Table of Contents<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"Approvalsnbsp;\">Approvals&nbsp;<\/h3>\n\n\n\n<p id=\"archives\">All content submitted to <em>YFile<\/em> should be pre-approved by the appropriate people (e.g. members of senior leadership, deans, directors, persons quoted directly) and submitted to <em>YFile<\/em> at least seven (7) days in advance of the newsletter publication date. The submitted copy will be reviewed by the <em>YFile<\/em> editorial team to ensure it aligns with editorial standards. If approvals are required after review by <em>YFile<\/em> editors, this must be stated at the time the content is submitted. In those instances, final approved copy must be returned to <em>YFile<\/em> two (2) days before publication.&nbsp;<\/p>\n\n\n\n<p>For more specific guidelines, see <a href=\"#deadlines\">Deadlines<\/a>.<\/p>\n\n\n\n<p><a href=\"#tableofcontents\">&gt;Return to Table of Contents<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"Archivesnbsp;\">Archives&nbsp;<\/h3>\n\n\n\n<p><em>YFile<\/em> has an established reputation for reliable reporting and is the source of trusted, relevant and authoritative news for the University. <em>YFile<\/em> stories are archived both <a href=\"https:\/\/yfile.news.yorku.ca\/\" target=\"_blank\" rel=\"noreferrer noopener\">online<\/a> and in the digital archives of the <a href=\"https:\/\/www.library.yorku.ca\/web\/archives\/\" target=\"_blank\" rel=\"noreferrer noopener\">Clara Thomas Archives and Special Collections<\/a> to help <em>YFile<\/em> users search and locate previously published content.&nbsp;<\/p>\n\n\n\n<p><strong>Content: <\/strong><em>YFile <\/em>stories are \u200b\u200barchived on the <a href=\"https:\/\/yfile.news.yorku.ca\/\" target=\"_blank\" rel=\"noreferrer noopener\"><em>YFile <\/em>website<\/a>, and date back to 2002. Please use the search function on the website to access the archives.&nbsp;<\/p>\n\n\n\n<p><strong>Newsletters:<\/strong> <em>YFile<\/em>\u2019s <a href=\"https:\/\/us6.campaign-archive.com\/home\/?u=86008ef08decdaa609e7ca8f2&amp;id=3ba936d492\" target=\"_blank\" rel=\"noreferrer noopener\">newsletter issues<\/a> are \u200b\u200barchived on the <em>YFile <\/em>website, and date back to September 2021.&nbsp;&nbsp;<\/p>\n\n\n\n<p><strong>Revisions to archived content:<\/strong> A request to alter or remove an archived news story will only be considered if the story and\/or image pose a threat to personal safety. Because <em>YFile<\/em> content is archived as official records for the University, requests to alter or remove an archived news story cannot be considered if the request changes the story in such a significant way that it alters the original news and\/or if the requester wishes to update an image, include their current role or add a fact to reflect a current situation.&nbsp;<\/p>\n\n\n\n<p id=\"awards\"><strong>Search: <\/strong><em>YFile <\/em>features an advanced search function that enables users to easily retrieve content dating back to 2002. Users can search by keyword and sort by category.<\/p>\n\n\n\n<p><a href=\"#tableofcontents\">&gt;Return to Table of Contents<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"Awards\/funding\/grantsnbsp;\">Awards\/funding\/grants&nbsp;<\/h3>\n\n\n\n<p id=\"bylines\"><em>YFile<\/em> aims to celebrate academic and research excellence at the University, which includes sharing news of awards, funding and grants. All achievements and recognitions are a point of pride for York University; however, coverage of such stories in <em>YFile<\/em> is primarily for large, major announcements due to the high volume of requests. All content is subject to review by two or more <em>YFile <\/em>and\/or Communications &amp; Public Affairs (C&amp;PA) staff members. If there is a need for a correction, please direct requests to <a href=\"mailto:ashleygc@yorku.ca?subject=Correction\" target=\"_blank\" rel=\"noreferrer noopener\"><em>YFile <\/em>staff<\/a> outlining the error and the correct information, as well as the story\u2019s headline and publication date. During the academic year, <em>YFile <\/em>is also host to special issues that are published on select Fridays. These issues include a focus on research and discoveries, and teaching and learning innovation, new faculty members and more.<\/p>\n\n\n\n<p>Members of the <em>YFile <\/em>team support all Faculties, Schools, campuses, central divisions and administrative units. <em>YFile <\/em>team members liaise with communication units across the University to create and guide <em>YFile<\/em>\u2019s content development for York\u2019s primary audience of faculty and staff, and secondary audience of students, friends of the University and the public. The team also responds to direct requests for content development\/content sharing from senior leadership, faculty, staff, students and external parties through the publication\u2019s online story form, and through direct email requests.<\/p>\n\n\n\n<p><strong>What does <em>YFile <\/em>report on?<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Research news that highlights the innovations of the University\u2019s faculty scholars and scientists, and the postdocs, graduate students, and undergraduates with whom they work. This can include: newly published research (journals), newly funded research, research collaborations, research awards and prizes, etc. <strong>NOTE:<\/strong> newly published books are generally shared through the Spotlight section.<\/li>\n\n\n\n<li>Stories that reflect York University\u2019s status as a higher education leader (rankings, unique initiatives, first-of-its-kind programming, innovations in teaching and learning, etc.).<\/li>\n\n\n\n<li>Awards and recognitions for members of the York University community and the institution, including calls for nominations of University-led awards and prizes.<\/li>\n\n\n\n<li>High-level announcements and news of community support \u2013 donor support, partnerships, scholarships that benefit undergraduate and graduate students.<\/li>\n\n\n\n<li>Profiles of York people whose accomplishments support the University\u2019s priorities and aspirations.<\/li>\n\n\n\n<li>Administrative news and bulletins.<\/li>\n\n\n\n<li>Announcements of appointments for senior leadership members (president, board chair, chancellor, ombudsperson, vice-president (including associate and assistant), provost (including vice and deputy), deans and principals. Other leadership roles are not announced in <em>YFile<\/em>, but instead within their respective divisions.<\/li>\n\n\n\n<li>Promotion of activities or messages supporting days\/months of significance in a pan-University context.<\/li>\n\n\n\n<li>Content that relates to teaching and learning, specifically experiential education, internationalization, innovations in teaching and learning and student experience.<\/li>\n\n\n\n<li>Content that supports the University\u2019s work in advancing DEDI.<\/li>\n\n\n\n<li>Content that supports the University\u2019s work toward advancing the UN SDGs.<\/li>\n\n\n\n<li>Content that supports the University\u2019s Academic Plan and institutional priorities.<\/li>\n\n\n\n<li>Announcements and notices that help members of the community learn what they need to know to do their jobs.<\/li>\n\n\n\n<li>Announcements\/notices relating to University operations, including institutional budgets, strategic plans, labour action, etc.<\/li>\n\n\n\n<li>Advance promotion of York-led events that are open to the public and that convey the important role that York University plays in the local community.<\/li>\n\n\n\n<li>Obituaries of York community faculty, staff, administrators, significant donors. <em>YFile <\/em>does not report on student deaths.<\/li>\n<\/ul>\n\n\n\n<p><strong><em>YFile <\/em>does not report on:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Event recaps \u2013 stories on events that have already taken place (unless there is another news hook, such as an announcement for new funding, awards, new programming, new partnership, etc.). The exception, considered on a case-by-case basis, would be for pan-University events.<\/li>\n\n\n\n<li>Pre-event promotion \u2013 stories with the sole purpose to promote events (however, there is opportunity to share event information in YFile as an event listing). On occasion, and with advance warning, <em>YFile <\/em>can publish late-breaking institutional news after normal working hours. Headlines should be limited to 70 characters. For other style considerations on headlines, refer to the<em> <\/em><a href=\"https:\/\/www.thecanadianpress.com\/writing-guide\/\" target=\"_blank\" rel=\"noreferrer noopener\"><em>Canadian Press Stylebook<\/em><\/a>.&nbsp;<\/p>\n\n\n\n<p><strong>Length: <\/strong>Stories submitted to <em>YFile <\/em>should be no more than 750 words. Long-format stories are occasionally published in <em>YFile<\/em>. These story ideas are developed in advance, and support the University\u2019s <a href=\"https:\/\/www.yorku.ca\/uap2020-25\/six-priorities-for-action\/\" target=\"_blank\" rel=\"noreferrer noopener\">academic priorities<\/a>, the University\u2019s <a href=\"https:\/\/www.yorku.ca\/about\/mission-and-vision\/\" target=\"_blank\" rel=\"noreferrer noopener\">core values<\/a> and the <a href=\"https:\/\/www.yorku.ca\/president\/priorities\/\" target=\"_blank\" rel=\"noreferrer noopener\">four pillars<\/a> that guide the University\u2019s vision. All stories and story ideas should be submitted to <em>YFile <\/em>through the <a href=\"https:\/\/yfile.news.yorku.ca\/story-ideas\/\" target=\"_blank\" rel=\"noreferrer noopener\">online story submission form<\/a>.&nbsp;<\/p>\n\n\n\n<p><strong>Possessive adjectives, subject and pronouns: <\/strong>The use of first- and second-person possessive adjectives, subjects and pronouns are generally avoided in <em>YFile <\/em>stories and will be subject to revision by <em>YFile <\/em>staff. Please avoid the use of the following: \u201cI, we, you, mine, ours, yours, my, our, your.\u201d&nbsp;<strong>Exception 1:<\/strong> These can be included in direct quotes.&nbsp;<strong>Exception 2:<\/strong> If the story is presented as a statement or announcement that is attributed to a person or persons, these adjectives, subjects and pronouns can be included.&nbsp;<\/p>\n\n\n\n<p id=\"submissions\"><strong>Quote attributions<\/strong>: A direct quote can <em>only <\/em>be attributed to one source\/speaker. A direct quote cannot be attributed to a group of people or a group of authors. In an instance when a direct quote is taken from a published work, the title of the work will be attributed, or it will be referred to as \u201cthe paper\u201d or \u201cthe study.\u201d Where a person is attributed in a direct quote, the attribution must include a full name (first and last) and cannot be anonymous.&nbsp;<strong>Exception:<\/strong> If the person attributed has been identified with first and last name in the story before the quote appears, the direct quote can be attributed using the last name only.&nbsp;<\/p>\n\n\n\n<p><strong>Translation<\/strong>: The following guidelines apply when considering English-to-French translation in <em>YFile<\/em>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>messages from the president and vice-provost to the whole of the University community should be translated into French. i.e. announcements\/statements;<\/li>\n\n\n\n<li>operational announcements\/updates (i.e. HR, Facilities, Security, Labour) are not translated; and<\/li>\n\n\n\n<li>exceptionally, stories specifically about Glendon have a French version posted to the&nbsp;<a href=\"https:\/\/www.yorku.ca\/glendon\/news\/?lang=fr\" target=\"_blank\" rel=\"noreferrer noopener\">Glendon Nouvelle page<\/a>.
