Hiring a Co-op Student

Hiring a York co-op student is easy. The Co-op Program is available to assist you with each step of your recruitment. From how to post a position to scheduling interviews, we are here to help facilitate the entire process. The following guidelines provide an overview of the steps for hiring a co-op student. Co-op Job Posting Requirements

Before posting a co-op position, please ensure your job meets the following posting criteria:

  • Full time (i.e. at least 35 hours per week)
  • Paid (i.e. competitive salary for level of position.)
  • Duration or length of contract is 4 consecutive months (with option for renewal for senior co-op students).
  • Start date aligns with the recruitment timelines (i.e. positions begin each term in September, January or May)
  • The co-op position utilizes the knowledge, skills and abilities students gained in their program of study and provides an opportunity for further development and learning.

Posting a Co-op Position

Co-op positions are posted on the YU Experience Hub online job posting system, to which co-op students have exclusive access.

If you have never used the system before, you will need to sign up for an account:

  • Click on "Employers & Community Partners" (this will allow you to create an account)
  • Fill in the required "Organization" and "Contact" information, then click "Next"
  • Complete the Job Posting form including the following information:
    • Answer "yes" for "Is this a York Co-op Program Job"
    • Under Position Type select the appropriate co-op program (Chemistry or Environmental Science)
  • click "Submit"
  • Once you have registered for an account and completed the Job Posting form, an administrator will approve your registration and co-op job posting
  • Approval may take up to two business days
  • Once your account registration has been approved, you will receive an email with your username and password, which will allow you to log in, post additional jobs, view applications and batch resumĂ©s

If you already have an account on the system:

  • Login using the username and password that was emailed to you when you registered
  • Once logged in, go to the "Job Postings" section and click on the "Add New" button
  • Fill in the required information on the job posting including the following:
    • Answer "yes" for "Is this a York Co-op Program Job"
    • Under Position Type select the appropriate co-op program (Chemistry or Environmental Science)

Collecting Applications

The YU Experience Hub online job posting system allows you to choose your application collection method. You can choose to have students apply through your online applicant tracking system (provide the URL that students should follow) or have students apply through the YU Experience Hub job posting system. If you ask students to apply using the YU Experience Hub system, you can choose to receive each application when it is submitted or have all applications collected on the system and sent to you as a batch PDF on the position close date.

Arranging Interviews and Presenting Job Offers

Interviews and job offers are coordinated through the Co-op Program. The processes are detailed below to ensure employers that students being considered for co-op positions are eligible to complete a co-op work term through a recognized York Co-op Program. Your organization may be eligible for financial support through the Ontario Co-operative Education Tax Credit, a refundable tax credit equal to 25-30% of eligible expenditures (i.e. up to $3000 for each qualifying work period). Your organization may be eligible for a Co-operative Education Tax Credit (CETC) after a student has completed a minimum of 4 consecutive months in a co-op placement.

Students also complete a number of important administrative processes through the Co-op Program when they receive a job offer, such as signing a Terms & Conditions agreement and enrolling in the mandatory co-op course so that their co-op work terms are recognized on their transcript.

(1) Interview Coordination Process:

  • Submit your interview request via email to the Recruitment & Job Search Coordinator, including the list of candidates and details, such as date, time, location, type and length of interview, name(s) of interviewer(s), etc.
  • The Co-op Coordinator will verify students’ eligibility and confirm interviews with the employer within 1 to 2 business days.
  • Interview rooms are available at York's Career Centre where the Co-op Program is houses. For more details about Interview Facilities and how to book please contact the Recruitment & Job Search Coordinator. 

(2) Job Offer Coordination:

  • Submit the co-op job offer details via email to the Recruitment & Job Search Coordinator. The offer details include: student name, position being offered, start/end date and salary.
  • The Recruitment & Job Search Coordinator will verify the student's eligibility, extend the offer to the student and communicate the student's decision to the employer within 2 business days.

Confirming Employment

Upon hiring a co-op student, employers contact the student directly to further discuss the official offer package, such as signing the official offer documents, submitting human resources or security forms, etc.
