Maintenance Requests

If you require any maintenance, you must submit a request. Please review the definitions and requirements for each type of request carefully.

Critical Maintenance

Flooding or leaks
Broken doors, windows or locks
No heating (below 21 °C)
Loss of water

Non-Critical Maintenance

All other maintenance requests will be address during regular business hours in order of priority.
Mon-Fri, 9 a.m. to 4 p.m., excluding holidays.

A critical maintenance includes:

  • Flooding or leaks
  • Broken doors, windows, or locks
  • No heating (below 21 °C)
  • Loss of water

If you’re experiencing a critical maintenance:

Submit an online maintenance request, then call:

  • Housing & Conference Services: 416‑736‑5152 (Mon–Fri, 8:30 am–4:30 pm)
  • Undergraduate Residence:
    • Don-on-Duty
  • York Apartments:
    • Security Services (after hours/weekends): 416‑650‑8000

Most issues are addressed during regular business hours (Mon–Fri, 9 am–4 pm, excluding holidays) in order of priority.

  • Expect a response within three business days, though peak periods (e.g. move in/out weeks) may cause delays
  • Repairs that require the assistance of a licensed tradesperson or outside contractor will take longer to complete
  • Only the resident/leaseholder can submit maintenance requests

Note: If you have a clogged toilet (and not overflowing), you are encouraged to use the common toilets in each building for the
night until maintenance can get to it the next day.

How to Submit a Maintenance Request

  1. Log into the Housing Services Portal and go to the “Maintenance” tab.
  2. Choose the appropriate space category:
    • Room (your private unit)
    • Shared Space (suite common areas)
    • Public Space (hallways, common rooms)
  3. Click “New Job,” select the area, then click “Continue.”
  4. Choose a category and the specific item needing attention.
  5. Provide a detailed description—for example, “dryer in G House laundry room not spinning.”
  6. (Optional) Note any causes if known—this helps clarify if damage charges might apply.
  7. For York Apartments, confirm that Housing staff can enter your unit for repairs. Make sure to note any pets and secure them before the appointment
  8. Submit the request via “Save & Continue.”

Staff are authorized to enter rooms/suites to respond to submitted maintenance requests and attend to critical repairs. Where repair persons are not permitted access to complete the requested repair, the resident will be required to resubmit their maintenance request. Repair work cannot be scheduled.

Residents are not required to be present during the repair work, unless requested by the repair staff (e.g. to provide a more detailed account of the problem).

York Apartments residents
For a light bulb replacement please schedule a visit to the Housing Office. Please bring the burnt out light bulb for replacement.
