Audio Visual Services and Technology

Audio Visual Support Services (AVSS) facilitate the production and management of audiovisual services in classrooms, meeting rooms, and event spaces. The Classroom Operations team at University Services Centre (USC) provides in-class support.

Overview

York courses in equipped rooms have free use of the technology that is installed. Courses in un-equipped rooms may be charged small fees. Special requests, recordings or operators are also charged back to your department.

How do I access it?

It is recommended that faculty have a short training session before the term starts if they are unfamiliar with the operation of the classroom. Faculty or their admin staff should put in a request for demonstration (a 5 minute instruction) via http://ceo.yorku.ca.

Personal devices and accessories can be used with existing Classroom Technology. Supported personal devices include Presentation Remotes with Laser Pointers, network cables, audio cables, and VGA cables.

Course instructors (or department admin assistants) can purchase personal devices and accessories via Sm@rtBuy.

Please note that we can only assist with supported personal devices. All other personal devices and accessories can only be supported as a best effort scenario. Please see below for a list of supported personal devices and accessories.

  • Kensington Presenter Remote - Red Laser Presenter
  • Kensington Presenter Expert - Green laser with cursor control
    • General Description: More advanced presentation remote with three functions: presentation slide advancer, cursor/mouse control, and green laser pointer (works better for lecture halls especially if you happen to be in a rear projection lecture hall). See details on the vendor's site.
  • Apple Adapter (for VGA)
    • General Description: In order to connect your own Mac laptop to a classroom VGA connection (for video signal), an Apple adapter is needed. See example of Apple adapter (for VGA). For optimal performance we recommend that you obtain your adapters from a reputable computer store.
  • Apple Adapter (for HDMI)
    • General Description: In order to connect your own Mac laptop to an HDMI supported classroom (for video and audio signal), an Apple adapter is needed. See example of Apple adapter (for HDMI). For optimal performance we recommend that you obtain your adapters from a reputable computer store.
  • HDMI to VGA Adapter
    • General Description: In order to connect your own laptop (that has an HDMI port) to a VGA supported classroom (for video signal), an HDMI to VGA adapter is needed. See example of HDMI to VGA adapter. For optimal performance we recommend that you obtain your adapters from a reputable computer store.
  • HDMI cable
    • General Description: In order to connect your own laptop to a classroom HDMI connection, any common HDMI cable in good condition can work. An HDMI cable does the job of carrying both video and audio signals. See example of HDMI cable. Please make sure the length meets your needs. For optimal performance we recommend that you obtain your cables from a reputable computer store.
  • VGA cable
    • General Description: In order to connect your own laptop to supported classrooms, any common VGA cable (with a male connector to male connector) in good condition can work. A VGA cable does the job of carrying the image signal from your laptop. See example of VGA cable. Please make sure the length meets your needs. For optimal performance we recommend that you obtain your cables from a reputable computer store.
  • Audio cable (3.5 mm connector)
    • General Description: In tandem with the above mentioned VGA cable, in order to connect the sound on your own laptop to supported classrooms, any common audio cable (with a 3.5 mm male connector to male connector) in good condition can work. An audio cable does the job of carrying the audio signal from your laptop. See example of audio cable. Please make sure the length meets your needs. For optimal performance we recommend that you obtain your cables from a reputable computer store.
  • Network cable (RJ45 connector)
    • General Description: In order to connect your own laptop to a classroom wired connection, any common network cable (with a RJ45 connector, CAT 5 or CAT 6) in good condition can work. See example of network cable. Please make sure the length meets your needs. For optimal performance we recommend that you obtain your cables from a reputable computer store.

For classrooms that are not equipped with built-in technology, York faculty and instructors, and administrative staff can order equipment. Choose the ordering system for the location at which the equipment will be used:

To facilitate staffing, coordinate delivery and ensure your request can be accommodated, all CEO orders are required to be in the system five business days before equipment is needed.  Late orders may not be able to be accommodated, or may be subject to a late charge.

For student presentations, students should request the equipment through their instructor  five business days before equipment is needed. Late orders may not be able to be accommodated, or may be subject to a late charge.

Note to academic users: Requests in CEO for the upcoming academic year (September 1 to August 31) can be made after 2nd week of August.

  • If a full time staff operator is requested during regular business hours then there will be a full time Labour charge of $30/hr.

A Hyflex classroom is equipped with technology that enables remote students to seamlessly participate in a course that is delivered on campus. The technology installed in the classrooms ensures the two-way engagement of all participants.

1. Unlock the touch screen and cabinet using standard password

2. Login in to the computer using your PPY credentials.

3. Open Zoom and login to your account (use SSO/PPY).

4. Setup your Zoom meeting (layout and content) and start meeting.

4. Press "broadcast" button along the top to enable the remote camera and microphone(s) and start your zoom meeting.

** Ensure the PC audio is selected under “audio select”

** Lapel mics (where equipped) are also connected to the Zoom call

How to Access it:

All centrally allocated rooms (RAC) are booked by the Registrar's office. If you would like to use one of the rooms listed on this page (or any other RAC rooms), please contact the Registrar's office at adhocs@yorku.ca.

Digital Signage is York University’s platform for displaying electronic content on public digital displays across campus. Content may include webpages, images, videos, event information, conference schedules, and other approved communications.

Digital displays are installed in almost 200 locations across Keele, Glendon, and Markham campuses. They are commonly found in public areas such as building entrances, hallways, service desks, student residences, and York-managed apartment entrances.

Display your content on existing digital signage

Want your message to appear on York’s existing digital signs? You may be able to have it included in the regular content rotation alongside other central York messages. This is a great option for sharing:

  • General announcements
  • Student, faculty, or staff reminders
  • Awareness campaigns
  • Important dates or deadlines
  • Community-facing information

Your content will appear as part of the regular screen rotation, rather than taking over the full display.

Need one or more digital signs to display only your content for a short period? You can request a temporary full-screen takeover. This is useful when you want to:

  • Show a conference schedule or itinerary on screens in the building where the conference is taking place
  • Display event-specific information on nearby screens during an event
  • Temporarily replace the regular screen rotation with essential and approved messaging

Full-screen takeovers are approved based on need and are available for limited time windows.

Set up a new digital signage display on campus

Connect a new digital display to York’s Digital Signage platform. Use this service if:

  • You already own a compatible display and want it connected to York’s Digital Signage platform
  • You'd like to purchase a new display and connect it to York’s Digital Signage platform

Easily update signage without relying on custom design work each time.

Available at the Full Tier, the Digital Signage Customization Tool is a York-managed WordPress-enabled visual content builder that provides users with a platform to create signage content optimized for campus displays, rather than building slides, posters, or webpages from scratch.

With the template, you can create branded display content using predefined layouts for common message types:

  • Announcements
  • Event promotions
  • Service notices
  • Wayfinding or directional messages
  • Conference or itinerary information
  • Rotating informational slides
  • Emergency or high-priority notices, where applicable

The template helps ensure content is:

  • Properly sized for digital signage displays
  • Consistent with York's visual standards
  • Easier to read from a distance
  • Better suited to display rotation and scheduling
  • Compatible with the MagicInfo signage environment

Without the tool, you may need to manually create your own display-ready content and ensure it meets formatting, accessibility, readability, branding, and technical requirements before it can be published.

This tool is especially useful for units that need to update signage regularly without relying on custom design work each time.

Standard Community Messaging

Overview

In order to better serve the York University community, the UIT Service Desk is making technical equipment available to all eligible York faculty and staff using their library card in line with our lending policy.

Available Tech

Webcam Kit: (**Please note this is only for faculty members that are currently teaching classes)

  • The priority is only for full time faculty members and instructors that are currently teaching classes
  • Full time staff members can also borrow the webcams (after the priority is met for faculty/instructors)
  • Students and part time employees of the university will not be able to borrow this item
  • You will be asked to provide your YUcard upon arrival
  • You will be asked to complete a form upon arrival with your personal information for the loan
    • The form will require you to provide your departmental budget number (only charged in the event of damage)

Liability

The patron agrees to assume all legal liability for the cost of repair or replacement in the event of loss due to theft, damage, negligence or misuse.

Eligibility

York University faculty members may borrow a webcam kit for the purpose of teaching classes, and York University administrative staff may borrow a webcam kit for the purpose of conducting work meetings. Patrons must come to the UIT Service Desk in Steacie building with a YUcard a departmental budget number and be in good standing with the Library when signing out the webcam kit – users must have no outstanding fines or liabilities over $20. The tech library requires this information to help prevent webcam theft.

Limits

Each patron will be permitted to borrow one webcam at a time.

Availability

Webcams will be made available on a first‐come, first‐serve basis at the UIT Service Desk (136 Campus Walk). Loan Period:

  • The loan period for a webcam is for the term. Webcams are due on the 15th of December, or the 15th of April, or the 15th of August before the UIT Service Desk closes.

Webcam Agreement Form

When first‐time users sign out a webcam, they will be required to read and sign a “York University TechLibrary Webcam Agreement form.” The form will be kept on file for future reference as required.

Renewals

Webcams may be borrowed by teaching instructors and administrative staff for the term. At the end of the loan period, the patron must bring the webcam back to the UIT Service Desk in person at the Steacie building. Patrons will be permitted to check out another webcam (a maximum of one time) at the start of the next term if there are no other patrons waiting for a webcam

Advance Booking

Holds or advance bookings are not available

Fines

Overdue fines of $500 and will be charged to the department via budget number. Borrowing privileges will be suspended until the fine is paid by the department.

Replacement and Damage Fines

The patron and home department assumes full financial responsibility.

Classroom Technology FAQs

Depending on the room, the cabinet will be located either in the podium below the PC monitor(s) or on the wall adjacent to the teaching station.

Check if your desired source (e.g. PC Main screen, Document Camera) is assigned to the desired destination (e.g. Projector) and ensure the source is powered on.

  • Check if the lapel microphone is on.   
  • Check if the batteries are not drained (if they are, replace batteries with the spares available inside the drawer within the equipment cabinet).  
  • Check if the lapel microphone is muted in the Master Level or Audio Levels on the control touch screen.

Hyflex Classrooms FAQs
