Subject: UIT Bulletin - Request for Special Classroom Software

***PLEASE DISTRIBUTE WIDELY***

This notice is going out to all clients (Instructors, Faculty, and Staff) that have used the Classroom Equipment Ordering system (either placing an ordered directly or through an Administrative Assistant via http://ceo.yorku.ca ).

Please note that classroom computers have a standard set of software that is already installed - see this list of software applications at
http://staff.computing.yorku.ca/faculty-staff/teaching-research-computing/classroom-technology/list-of-applications-available-in-classrooms

If there are any special software requirements in classroom computers for the upcoming school term, please complete software request form mentioned at the bottom of the previously mentioned website as soon as possible (before Fri Aug 9, 2019). UIT will start to make arrangements for user testing and sign off making sure the special software is working as expected. Requests for software changes after Mon Aug 26, 2019 will still be reviewed but priority will be given to those that have put in their requests before Fri Aug 9, 2019.

UIT will be able to assist with the special software request as long as:
1. The requestor is an active employee/faculty member at York University
2. The software’s license and support agreements are current and valid
3. The software’s license is not a trial copy
4. The software (and any dependent 3rd party) do not have known security vulnerabilities
5. The software is compatible to run on Windows 10
6. The requested software can be packaged and deployed with UIT's deployment tool
7. A software's license does not need to be manually registered or activated for every single use
8. Concurrent license can be hosted on existing central license manager (if applicable)

Subject: Service Advisory: Request for special classroom software

If there are any special software requirements in classroom computers for the upcoming school term (Summer), please contact askit@yorku.ca as soon as possible. UIT will start to make arrangements between Tue Apr 25, 2017 to Fri Apr 28, 2017 for user testing and sign off making sure the special software is working as expected. UIT will not be able to make timely software changes to classroom computers after Fri Apr 28, 2017.

UIT cannot assist with the special software request if any of the
following reasons are met:
1. Requester is not an active employee/faculty member at York University
2. The software's license and support agreement is no longer valid
3. The software's license is a trial copy
4. The software (and any dependent 3rd party) has known security
vulnerabilities
5. The software is not compatible to run on Windows 7

Subject: Classroom Computers - Please do not keep files or teaching materials on classroom computers

This notice is going out to all clients (Instructors, Faculty, and Staff) that have used the Classroom Equipment Ordering (CEO) system (either placing an order directly or through an Admin. Asst. via http://ceo.yorku.ca).

Please do not keep files or teaching materials on classroom computers as the computers are regularly being upgraded following a renewal schedule, or serviced as incidents are reported/found by regular maintenance checks.

This is going out as a reminder for Instructors to not be in the practice of keeping teaching material or files, locally on the classroom computers. The rationale is that if a computer is being serviced in such a way (e.g. Hard Drive replacement), or a complete system upgrade is scheduled, any personal files or teaching material saved on that computer will be lost. Also on a related note, having many Instructors keep files locally on classroom computers also negatively impact the performance of the computers
as well. If you are running a file locally from the classroom computer, please delete it at the end of your class.

Subject: Classroom Computers - Apple has ceased support for the Windows version of QuickTime
In 2016, Apple has ceased support for the Windows version of QuickTime.
Following recommendations set by UIT Information Security, QuickTime was removed on all systems including classroom computers before the start of the Fall semester (September 2016). The vulnerability in QuickTime (for Windows) allows a Windows system to be infected when browsing the Internet.
In cases where Instructors are planning to embed an Apple QuickTime movie (a .mov video file) into a Powerpoint presentation for use in classroom computers, the recommendation is to make sure the embedded video is in a playable format, or to bring a copy of the video to be played as a separate file. Another alternative is to link to a video on the Internet or privately upload the video for your own use (e.g. a link to Youtube).

Subject: Presentation Remotes - now available through Bronfman, Scott, and
Steacie Libraries
Hello,

This notice is going out to all clients (Instructors, Faculty, andStaff) that have used the Classroom Equipment Ordering (CEO) system (either placing an ordered directly or through an Admin. Asst. via http://ceo.yorku.ca).

Presentation Remotes will be available for loan through the Libraries' sign-out system at Bronfman, Scott and Steacie Libraries.

This is in addition to the teaching equipment currently available in classrooms.

Subject: Change of Process for CEO (Classroom Equipment Ordering) - Minimum Submission Time & CHARGING.
Greetings

As per the email sent below in December 2014, in order to ensure your request can be accommodated, "ALL CEO orders were required to be in the system SEVEN BUSINESS DAYS before equipment is needed. Late orders may not be able to be accommodated, or may be subject to a late charge."

In consultation with our clients, we have revised the time required to place an order to be FIVE Business Days.

Beginning January 1st, 2016, UIT will be implementing a late charge of $10 for orders posted within FIVE Business Days of equipment being needed. Please note that UIT may NOT be able to accommodate late requests and only requests that are late (within Five Business Days), and can be accommodated will be charged the $10 late charge.

To ensure your requirements are met and to avoid any late charges, please submit your CEO orders prior to Five Business Days of your event.

Subject: Classroom Technology Upgrades & Training Sessions Available.

UIT will be continuing the classroom technology upgrades in the following rooms, beginning on Tuesday December 8th and to be completed by December 23rd:

Curtis Lecture Halls H, J, K, L and M
HNES 030 – 038 and 401
Stedman Lecture Halls A-E
Vari Hall A-D

There will be changes in the process to turn on and connect the equipment. To this end, UIT will be offering general training sessions on classroom technology for all interested faculty members and instructors, from Tuesday December 8th until Friday December 18th. Even if you are not in a classroom being upgraded, we encourage you to sign up for a session to have all your classroom technology questions answered.

Please email askit@yorku.ca with your available dates/times to make arrangements.

For those who would like to see step-by-step detailed instructions of the new setup online, it will be available after December 8th at:

In addition to the detailed instructions online, each podium will have a simplified instruction sheet posted to assist with starting and connecting the projector and computer.

Subject: Change to Contact Information for UIT Classroom Operations Support.

In August 2014, UIT restructured it's Client Support Services units and merged the former UIT Instructional Technology Centre (ITC) department with UIT Client Services to optimize and enhance customer service.

Resulting from this merger, and in an effort to simplify contact regarding Classroom questions, issues and requests, the old ITC phone number x55065 has been redirected to x55800 where you can simply press 1 to speak to a technician, or leave voice mail. Classrooms that have phones equipped within have also had the ITC button replaced with UIT Help which will dial x55800.

In addition, Email requests should now be sent to askit@yorku.ca The former email address itc@yorku.ca will redirect to askit@yorku.ca until December 31st 2015 after which, it will no longer be usable.

Subject: CHANGES to Classroom Equipment - Personal Devices And Accessories.
**** PLEASE DISTRIBUTE WIDELY ****

With over 400 teaching spaces at York, UIT's priority is to aid in the success of the classroom learning experience by reducing issues, outages or other negative impacts.

An increasingly common issue in classrooms is missing or broken devices and accessories, such as laser pointers, cables, batteries, etc.. An important step that faculty can take is to ensure that devices and accessories are appropriately locked away at the end of class, in the compartments provided for them in the classroom.

UIT also recommends that faculty members and instructors consider bringing and using their own personal devices and accessories with the existing built in technology/infrastructure, so lectures and teaching can start without delay should any of the accessories provided by UIT be missing or broken.

ITC Classroom Operations has been moved to the ClientServices group in UIT to integrate a larger staff base, and provide a consistent documented service.

To facilitate staffing, coordinate delivery and ensure your request can be accommodated, all CEO orders are now required to be in the system SEVEN BUSINESS DAYS before equipment is needed. Late orders may not be able to be accommodated, or may be subject to a late charge.
