IT Policies

Senate Policy on Computing and Information Technology Facilities provides general guidelines for use of these facilities.

Guidelines and Procedures for Use of Electronic Mail (E-mail) defines how University email must be used.

 

IT Governance Bodies

 

IT Executive (ITEX)

Chair	Chief Information Officer (CIO)
Membership	VPFA Provost VP Research AVP T&L Registrar AVP Institutional Planning and Analysis Chief Information Security Officer (CISO)
Purpose	To ensure that new and ongoing initiatives and investments in IT align with and effectively support University priorities
Mandate	Provide executive sponsorship for the IT strategic planning process and approve EA Target and IT Strategy; Assess alignment of IT initiatives with institutional priorities; Develop, publish and administer prioritization rubric for IT projects Review proposed major IT initiatives and advise UBAC with respect to priorities for investments, institutional vision and mission, and community needs; Monitor the progress of major IT initiatives; Define guiding principles to support the decision process and technological design of solution Recommend university-wide IT policies and standards Review IT services and performance and make recommendations for improvement
Meetings	Frequency: 4-6 times a year, as required Quorum: 50% Format: Face-to-face and online

 

IT Council

Chair	Chief Information Officer (CIO)
Membership	Faculty IT Directors Unit IT Directors UIT Executive
Purpose	Provide expert insight on IT needs and ensure open and effective UIT-Faculties/units communication on relevant IT topics, including policy, usage, service, etc.
Mandate	Contribute to building an IT vision and a cohesive plan to optimize technological investments Provide input on IT policies and procedure, usage, service, etc. Make recommendation on new initiatives Make recommendation on priorities considering institutional mission, vision and community needs. Review IT services and performance and make recommendations for improvement Serve as the EA Review Board to determine alignment with EA principles and structures for all university projects (See appendix 1 for detailed responsibilities)

Enterprise Architecture Council

Chair	Chief Information Officer (CIO)
Membership	IT Council OIPA representative Divisional IT
Purpose	Collaboratively advance an integrated IT environment and the University’s ability to change
Mandate	Provide executive sponsorship for the IT strategic planning process and approve EA Target and IT Strategy​ Assess alignment of IT initiatives with institutional priorities​ Develop, publish and administer prioritization rubric for pan-University IT projects​ Review proposed major IT initiatives and advise UBAC with respect to priorities for investments, institutional vision and mission, and community needs​ Monitor the progress of major IT initiatives​ Define guiding principles to support the decision process and technological design of solution​ Recommend university-wide IT policies and standards​ Review IT services and performance and make recommendations for improvement
