Vacancy: BioCAM4 Project Coordinator

The BioCAM4 consortium (University-Based, International Research Project) seeks a Project Coordinator to support the next phase of a large, multi-partner, international research project funded through a competitive NFRF-I grant. This role is central to ensuring strong governance, coordination, transparent communication, training, and effective delegation across a complex international project structure.

The Project Coordinator works at the Dahdaleh Institute for Global Health Research, York University, and will be working closely with the Principal Investigator (PI), project co-leads, and institutional partners to ensure that planning, operations, reporting, and communications are executed to a high professional standard.


1. Qualifications & Professional Experience

  • Degree and/or formal certification in Project Management, Research Administration, or a related field.
  • Demonstrated experience managing externally funded research grants in a university or research institute setting.
  • Proven expertise in project operations, including the design and use of task planning, tracking, and reporting systems for complex, multi-stream projects.
  • Strong experience with governance processes, including:
  • Preparing agendas and agenda packages
  • Running formal meetings
  • Taking and circulating minutes
  • Maintaining systematic and accessible records
  • Demonstrated experience in budget oversight, expenditure tracking, and liaison with university research accounting and grant management offices.
  • Outstanding written and verbal communication skills, including:
  • Professional email etiquette and communication norms
  • Clear, timely confirmation of actions and deliverables
  • Experience communicating in cross-cultural and international contexts
  • Experience supervising, coordinating, and training assistants or junior staff, processing their hourly work sheets, with reporting lines to the Principal Investigator.
  • Demonstrated experience in event planning and delivery, including workshops, public-facing webinars and events, and partner-facing meetings, with post-event reporting.

  • Adaptability and sound judgment in prioritizing tasks within a complex, evolving project environment.
  • Willingness to learn, refine systems, and contribute to continuous improvement as the project matures.


3. Responsibilities
The Project Coordinator will:

  • Work closely with the PI and consortium co-leads and partners to facilitate internal governance meetings (e.g., Executive Board, Annual Meetings, Work Package meetings), including preparation of agendas, documentation, minutes, and follow-up tracking.
  • Design, implement, and maintain project-wide task planning and tracking systems, and oversee task-specific workflows with PI approval.
  • Support the development and implementation of strategic plans, milestones, and timelines for the BioCAM4 project.
  • Provide operational and strategic support to Work Packages focused on:
  • Knowledge mobilization, dissemination, and communications
  • Project management, governance, and budget oversight
  • Liaise with the Dahdaleh Institute and York University administrative units (finance, research ethics, data management) to ensure smooth project administration.
  • Support the planning and delivery of consortium events (e.g., workshops, webinars, conferences), including coordination with partners and post-event reporting.
  • Recruit, train, and supervise assistants and consultants, ensuring clear delegation, expectations, and accountability.
  • Participate in selected Canada-based or international workshops and events as needed either in online or in-person format (travel expenses, if applicable, are covered by the project).
  • Assist the PI and co-leads in preparing high-quality reports to the funder and other required project documentation.
  • Support medium- and long-term collaborative opportunities with select project partners.


Preferred Start Date: June 1st, 2026
 
Hours of work: Full-time, 35 hours per week
 
Duration: 1 year (three-month probationary period), with the possibility of extension for a second year pending satisfactory performance
 
Location: The position is based at York University (Toronto), and a workspace will be provided.
 
Compensation: The anticipated starting salary for this position will depend on the successful candidate’s skills and qualifications. The anticipated hiring range is between $40,000 to $45,000 per annum.
