This bulletin is to advise the community of new Vendor of Records (“VORs”) for Promotional Items.

Background

Promotional Items are currently being purchased across York University (“York”) in a de-centralized fashion with no standardized pricing. To reduce administrative costs associated with procurement, York has created a VOR for Promotional Items through the Ontario Education Collaborative Marketplace (“OECM”) agreement.

To capitalize on lower pricing and best selection, York is creating VORs with the following vendors:

The York University Bookstore remains the preferred source of supply for Promotional Items, therefore community members are encouraged to first contact the Bookstore to fulfill their requirements.

Vendor Introductory Session

Interested community members will be invited to attend a vendor introduction session with Akran Marketing and Score Promotional Marketing Inc. which will be scheduled at a later date. The introductory session will explain the transition process to York’s new VOR including short and long-term ordering processes; provide an opportunity to introduce York’s end users to a number of value-added products/services being offered; and provide an opportunity for questions and answers.

Implementation Details

The awarded vendors will be on-boarded to Sm@rtBuy, the University’s on-line purchasing system. The on-boarding process is expected to be completed by Fall 2017. Benefits for ordering through Sm@rtBuy:

• consistent pricing across the University
• broad-range of products available at competitive price and provide savings
• seamless order/pay process, eliminating invoices, credit card payments
• the ability to work with vendors to achieve service consistency and customer satisfaction

The vendors will provide product resources including, but not limited to the following:

Decoration Methods

The vendors can provide decoration product resource methods including but not limited to:

• Embroidery
• Etching
• Image Transfer (e.g., heat transfer)
• Laser engraving
• Laser printing
• Silk – screening; and
• Any other commercially available decoration methods as required.

Proofs

The vendors can provide pre-production proofs for approval.

Samples

The vendors can provide product resource samples including pre-production samples with York specific artwork at no cost.
