The room booking process and room details provided below will be useful in facilitating a smooth room booking experience.

Who can book spaces at the LA&PS Colleges
As per the University’s Procedure on the Temporary Use of University Space (PDF), eligible users can request space for meetings, events and other activities outside of normal academic activities by contacting the reservation agent responsible for booking those spaces.
Internal (York University) Eligible Users of university space include:
- Academic Offices, Departments and Research Centres
- Administrative Departments and Employee Groups
- Recognized Student Governments and Student Organizations
* Please allow 5 business days for booking spaces.
External (non-York University) Requests
All external organizations seeking to book space at York University must do so through Accommodation & Conference Services.
Bookable Spaces at the Colleges
There are three types of spaces at the LA&PS Colleges:
- Academic Teaching Space (Classrooms, seminar rooms, lecture theatres, etc.)
- Non-Academic Space (Dining Rooms, Assembly Halls, etc.)
- Student Study Spaces
Academic Teaching Space
Classroom space is controlled by the Registrar’s Office.
Internal Eligible Users seeking to book Classroom spaces can make a request by completing the Classroom Online AdHoc Booking Request Form.
Internal Eligible Users seeking to book non-academic teaching space can make a request by completing the YU Room Request Form.

Step 1 - Read the TUUS Guidelines for Registered Student Organizations. Step 2 - Select a date and time for your event. Step 3 - Select a room (scroll down to our Available Spaces section). Step 4 - Submit a YU Room Request Form 4-6 weeks in advance of your event. Step 5 - The Room Reservation Agent will receive your YU Room Request Form and work with you to put a tentative hold on a room. Step 6 - The YU Room Request Form will determine if you need to submit a TUUS Application. This will be confirmed in the Room Reservation Agent’s confirmation email. TUUS requires 15 business days to consult with various campus partners (Security, Risk Management, Food Services, etc.) about your event and to issue a TUUS Authorization/Permit. A TUUS Authorization/Permit is mandatory for every RSO event, whether or not you are required to submit a TUUS application. Please Note: During times of high-volume requests, please allow 5-7 business days for a response. This is in addition to the TUUS requirement for 15 business days to produce a TUUS Permit and the SCLD requirement of 5 business days to submit an AV and SR request on behalf of RSOs.

Founders Dining Room
015A Founders College
- Availability: Summer Term only
- Location: Courtyard level
- Capacity: 36
- Built in technology: LCD Television with built in PC.
Staff: A Classroom Equipment Order (CEO) is NOT required to use the built-in technology.
RSO: A CEO request through SCLD is required to activate the equipment. - Standard Set-up: Classroom Style (Rectangular tables w/ chairs.) A Service Request is only required for events requiring a different room configuration.

Founders Assembly Hall
152 Founders College
- Location: First floor
- Capacity: 160 (round tables and chairs) to 250 (lecture style)
- Built in technology: Computer, projector, projection screen and speakers.
Staff: A Classroom Equipment Order (CEO) is NOT required to use the built-in technology.
RSO: A CEO request through SCLD is required to activate the equipment. - Standard Set-up: Open space.
- A Service Request is only required for events requiring a different room configuration.
Staff: Submit a Maximo Service Request for room configuration.

Brian Cragg Committee Room
303 Founders College
- Location: Third floor
- Capacity: 30
- Built in technology: PC, Screen, and LCD projector.
Staff: A Classroom Equipment Order (CEO) is NOT required to use the built-in technology.
RSO: A CEO request through SCLD is required to activate the equipment. - Standard Set-up: Boardroom Style (Rectangular tables with chairs.)
- A Service Request is only required for events requiring a different room configuration.

Senior Common Room

- Location: Third floor
- Capacity: 48 (round tables and chairs) to 60 (lecture style)
- Built in technology: PC, LCD projector (project onto wall)

Junior Common Room, The Renaissance
001 Vanier College
- Location: Courtyard level
- Capacity: 100 (lecture style)
- Built in technology: None.
Staff: A Classroom Equipment Order is required to order equipment.
RSO: Need to bring your own equipment. - Standard Set-up: Mix of tables and chairs and lounge type seating.

RSO: Submit an SR request through SCLD. - Note: VC 001 has limited availability for bookings due to its primary use as a student study space and LA&PS Community Hub activities. The room is only available for bookings Thursday and Friday evenings and on weekends.
- Note: Changes to the standard room set-up will not be permitted for booking requests taking place Monday through Thursday. Changes to the room configuration will only be allowed for events taking place Friday evenings and weekends.

Senior Common Room
010 Vanier College
- Location: Courtyard level
- Capacity: 40
- Built in technology: None.
Staff: A Classroom Equipment Order is required to order equipment.
RSO: Need to bring your own equipment. - Standard Set-up: Lounge with non-standard seating.
- A Service Request is only required for events requiring a different room configuration.

Founders College Courtyard
- Outdoor space located between Founders College & Residence
- Booked through the Office of Temporary Use of University Space

Vanier College Courtyard
- Outdoor space located outside of the Vanier Renaissance Room (VC 001)
- Booked through the Office of Temporary Use of University Space

McLaughlin College Courtyard
- Outdoor space located at the entrance of McLaughlin College & Residence
- Booked through the Office of Temporary Use of University Space

New College Courtyard
- Outdoor space located at the east side of the Atkinson building
- Booked through the Office of Temporary Use of University Space
Audio/Visual (AV) Requests and Custodial (SR) Service Requests

If you require Audio Visual (AV) or furniture reconfigurations, you will need to Submit a Service Request for your event or meeting through SCLD, after receiving a TUUS Authorization/Permit. If you need to contact SCLD, please email Charmaine Mohamed at cmohamed@yorku.ca or visit her office at Ross Building, S172. If the room does not have built in AV equipment, UIT cannot support the space and your student club will need to bring in your own AV equipment OR you can rent AV equipment from a company such as Long & McQuade (2777 Steeles Avenue West, 416-663-8612). Please Note: Please submit a Service Request (SR) for all room configurations. We expect that tables and chairs are returned to the original room configuration as per the room layout poster in each meeting space. If the space requires custodial support following your event, your group will be charged and may lose future booking privileges.
Room Key Pick-up and Returns
• Room keys are picked up and returned to room 216 Founders College immediately following your event.
• If our office is closed, please deposit the key into the drop box outside FC 216.
Lost or Stolen Keys
Please contact Security at 416-650-8000 to obtain an Incident Report number.
Please provide the LA&PS Colleges Room Booking Agent with the Incident Report number via email at lapscolleges@yorku.ca as soon as possible.
